How to Create a Fax Broadcasting Campaign

You might have heard about people who use fax broadcasting as an effective and cost-efficient means to promote their business and/or new products and wondered how that works. A fax broadcast refers to sending a fax document to multiple fax numbers at the same time. Naturally, this can’t be done from your office, using a single fax machine, as it would be very time consuming. Instead, you can use dedicated software and send faxes directly from your computers to thousands of recipients at once. You can either do this in-house or resort to a professional company. Whatever you choose, the steps of a fax blasting campaign are very easy and they do not require a technical background.
Step 1
Before sending out your first fax blast, you need the above-mentioned software. You can purchase fax broadcasting software in just a few seconds, but, before doing so, you need to make sure that it is compatible with your operating system. Otherwise, it may not work at all or take up too many of yopur computer’s resources, thus making the process very slow.
Step 2
Prepare the list for your fax broadcast. This list is comprised of fax numbers that you wish to send your message to. The software is usually equipped with features that allow you to pull this list from your sales database or even from a customer billing system. Cheaper versions of the software will only allow you to use spreadsheets or introduce each number manually. The good news is that you only have to do this once. The software memorizes your list; of course, in time, you can edit it, delete certain numbers, add new ones and so on. You can also create more than one list; for instance, you may need a list for existing customers (to which you send news about loyalty programs) and one for prospective clients (to which you send news about promotions). Of course, you can also merge them: old clients deserve to know about the promotions, as well.
Step 3
Prepare the document for the fax blast. Some companies provide you with templates that you can choose from. All the graphic work is done and all you need to do is insert your own text.
Step 4
Configure the fax blasting. During this stage you will assign a certain date and time for the messages to be sent. You can assign different times to some of your fax numbers, or send them all at the same hour.
Step 5
Assign a document to each list. If you have more than one list, make sure that the correct document is assigned to each of them or your fax broadcasting campaign may have little to know success.
Step 6
Send out the fax broadcast. Most programs will send out the faxes in batches, especially if they have to work with larger lists. Nonetheless, the software is also capable of redialing busy, non-answering or turned off fax machines. When the campaign is completed, the software will generate a report of which fax were delivered.
